Choosing the right events agency isn’t simply about finding someone who can organise an event.
There are plenty of people who can find a venue, book suppliers and build a running order.
The right events agency should understand why you’re bringing people together in the first place, what you need the experience to achieve and how to turn that ambition into something that works creatively, commercially and practically.
And, perhaps just as importantly, they need to be people you trust.
Because when you’re handing over an important event, you’re also handing over a little bit of your reputation.
So, how do you choose the right events agency for your business?
How do you choose the right events agency?
Start by looking beyond the pitch deck.
Of course, creativity matters. Experience matters. Great ideas matter. But how an agency shows up matters too.
The best agency partnerships aren’t simply client and supplier. The agency becomes an extension of your team. They understand the pressures you’re working under, listen properly, communicate openly and know when to challenge, when to advise and when to simply get on with making things happen.
At Saving Grace, we’ve spent a lot of time thinking about what great partnership should feel like.
For us, it comes down to six things: Imagination. Collaboration. Trust. Heart. Fun. And Momentum.
Not because they sound good written on a wall, but because they should be things you actually experience when you work with an agency. So, when you’re choosing yours, here are the things we’d look for.
1. Do they start with your objectives, or jump straight to ideas?
Imagination is powerful, but only when it’s solving the right problem. It’s tempting to get excited about venues, themes, entertainment and all the things an event could be.
But those shouldn’t be the first questions. A good events agency should want to understand:
- Why are you bringing people together?
- Who needs to be in the room?
- What do you want them to think, feel or do differently afterwards?
- What would make the event successful for your organisation?
- What are the commercial and practical parameters you’re working within?
Only then should the ideas start. At Saving Grace, this is where we begin every brief. We want to understand what sits behind the event before we start creating what sits around it.
Because big ideas are only brilliant when they’re beautifully brought to life for the right reason.
2. Do they listen before they lead?
A great agency should bring expertise, but expertise shouldn’t mean arriving with all the answers before they’ve properly heard the question.
Look for an events partner who is genuinely collaborative. Someone who wants to understand your business, your culture, your audience and your internal team. Someone confident enough to bring a point of view, but not so attached to their own ideas that they stop listening.
The best work usually happens somewhere in the middle. You bring the knowledge of your organisation. Your agency brings its experience, creativity and perspective.
Together, you make the idea better. For us, better together isn’t about agreeing on everything. Sometimes good collaboration means asking a difficult question or challenging part of a brief.
What matters is that it always feels like everyone is on the same side.
3. Do they understand the people you’re creating the event for?
Your event isn’t being created for the agency, and, ultimately, it isn’t being created for you either. It’s being created for the people attending it. A good event management company should be curious about those people.
Who are they? What matters to them? What have they experienced before? What might make them lean in, switch off, connect or participate?
That understanding should influence everything from the format and content to the venue, food, production and pace of the experience. It’s why we come back so often to think, feel and do.
- What should your audience think as a result of being there?
- How should they feel?
- And what do you ultimately want them to do?
Because an event can look extraordinary and still fail to connect with the people in the room.
4. Can you trust them with the commercial reality?
Trust isn’t only about believing an agency can deliver a great event, it’s also about knowing they’ll be straight with you along the way.
Big ideas are brilliant, big ideas that can’t be delivered within the budget are considerably less useful.
When you’re choosing an events agency, look for a team that’s comfortable talking about money early and openly. They should help you understand where your budget will have the greatest impact, where intelligent compromises can be made and where cutting a corner could fundamentally change the experience.
There should be transparency around costs, decisions and changes. And no nasty surprises.
At Saving Grace, we think great partnership should give a client confidence at every step. That includes the exciting creative conversations. But it also includes the spreadsheet!
5. Do they genuinely care about the outcome?
This one is harder to test in a pitch, but you’ll usually feel it.
- Does the agency seem genuinely interested in what you’re trying to achieve, or simply excited about what they might create?
- Do they care about your audience?
- Do they notice the details?
- Do they understand why this event matters to you and your organisation?
Because care shows up in the work. It shows up in the thoughtful detail nobody asked for. In remembering the conversation you had three weeks ago. In thinking about the guest who might experience the event differently. In asking whether something is actually right rather than simply whether it can be done.
For us, that’s Heart. We care deeply about the events we create and the people we create them with.
You should expect that from your events partner too.
6. Will they bring the right energy?
Events should be enjoyable. Not every minute of producing them will be, obviously. There will be spreadsheets. Logistics. Long days. Difficult decisions. Last-minute changes. And occasionally technology choosing precisely the wrong moment to stop cooperating.
But the people around you make an enormous difference to how that experience feels. A great agency should bring positive energy without losing professionalism.
They should be people you enjoy having in the room. People who keep perspective when things become pressured. People who make the process feel exciting rather than exhausting.
Fun doesn’t mean frivolous. It means remembering that we’re in the business of creating great experiences, and the experience of creating them matters too.
7. Do they create momentum?
Ideas are one thing. Making them happen is another.
A strong events agency should keep things moving. That means being proactive, prepared and accountable. Following through on actions. Anticipating what’s coming next. Flagging decisions before they become problems.
And not leaving you wondering what’s happening. When you’re comparing event agencies, ask how they actually manage a project.
- Who owns what?
- How will you communicate?
- How are actions, budgets and decisions tracked?
- How will they keep you ahead of the programme rather than constantly chasing it?
We call it Momentum.
For a client, it should simply feel like your agency is always one step ahead.
8. What happens when things don’t go to plan?
Events are live, which means even with extraordinary planning, something somewhere will eventually decide not to behave itself.
A supplier is delayed, a speaker changes, the weather has other ideas, technology becomes temperamental. The test of a trusted events partner isn’t whether nothing ever changes. It’s how they respond when it does.
You want people who anticipate problems, stay calm, make good decisions and solve things without creating unnecessary drama.
Ask a prospective agency about a time something went wrong, then listen carefully to the answer. It may tell you considerably more about them than another perfect case study.
Does the events agency have the right experience for you?
Experience matters. But we’d be wary of choosing an agency purely because they’ve worked with the biggest brands or delivered the biggest events.
Instead, ask what that experience tells you.
- Have they solved challenges similar to yours?
- Can they explain how they approached a brief, rather than simply showing you photographs of the finished room?
- Can they tell you what they learned, what changed along the way and what the event ultimately achieved?
- And is their experience relevant to what you’re creating?
That might mean delivering engaging conferences, memorable awards ceremonies, meaningful incentive experiences, impactful charity and fundraising events, bespoke corporate events or taking an experience internationally.
A strong portfolio should give you confidence. A strong conversation should tell you why.
What questions should you ask an events agency?
By the time you’ve spoken to a potential agency, you should understand much more than what they can create. You should understand how they think, how they work and how it will feel to work with them.
Some useful questions to ask are:
- How will you get underneath our brief before developing the creative?
- How will you understand our audience?
- Who will actually work on our event?
- How do you work alongside internal teams?
- How do you approach and manage budgets?
- How will we track progress, decisions and costs?
- How do you select and manage suppliers?
- How do you approach contingency planning?
- Can you show us a relevant event and explain the thinking behind it?
- What would you challenge about our brief?
- What do you need from us to make the partnership work brilliantly?
That final question matters. Because the best agency relationships work both ways.
What should the right events agency feel like?
Capable, obviously. Experienced, absolutely. Imaginative, commercially aware and brilliant with detail, definitely. But we’d add something else….They should feel like part of your team.
You should feel listened to, but also challenged when it matters. You should feel inspired by the possibilities, but reassured that somebody has hold of the detail. You should feel valued, kept informed and confident that things are moving.
And somewhere along the way, the distinction between your team and their team should start to disappear.
That’s when the best partnerships happen. And, in our experience, that’s usually when the best events happen too.
Looking for the right events agency?
We’d love to tell you we’re the right agency for everyone, but we’re not. And we don’t think any events agency should be.
The right partnership depends on your business, your people, your ambitions and how you want to work.
But if you’re looking for an events partner who will bring imagination, collaboration, trust, heart, fun and momentum to your brief, while never losing sight of what your event actually needs to achieve, we’d love to hear what you’re planning.
